Overview
Seedling integrates with Zoom to automatically create video meetings for online Gatherings. Once connected, Seedling can create meetings on behalf of the Space, generate personalized join links for participants, and import attendance data after a Gathering ends.
The Zoom integration is optional and per-Space — each Space owner connects their own Zoom account. Seedling only accesses the Zoom account when performing actions the user initiates within the platform.
Prerequisites
- A Seedling account with an active Space
- A Zoom account (Pro, Business, or higher recommended for access to meeting reports and attendance data)
- You must be the Space owner or a Space Admin to connect Zoom
Connecting Zoom to Your Space
- Sign in to Seedling and open your Space.
- Open the Settings panel from the left sidebar.
- Scroll to the Integrations section and click Connect Zoom.
- You will be redirected to Zoom to authorize the connection. Sign in with the Zoom account you want to use for your gatherings.
- Review the requested permissions and click Allow.
- You will be redirected back to Seedling. A confirmation message will indicate that Zoom is now connected, showing the email address of the connected Zoom account.
What Seedling Can Do Once Connected
- Create meetings automatically— when you schedule an online Gathering, Seedling creates a corresponding Zoom meeting using your account.
- Generate personalized join links— Seedling registers each participant individually on the meeting, providing them with a unique join URL. This allows accurate attendance tracking.
- Import attendance— after a Gathering ends, Seedling can retrieve the participant list from Zoom and automatically update attendance records in your Space.
Permissions Requested
When you connect Zoom, Seedling requests the following permissions:
- View your Zoom profile— to identify the connected account and display it in your Settings.
- Create and manage meetings— to create, update, and delete Zoom meetings for your Gatherings.
- Manage meeting registrants— to register participants and generate personalized join links.
- View past meeting participants— to import attendance data after a Gathering ends.
Seedling does not access your Zoom recordings, contacts, chat messages, or any data beyond what is listed above.
Disconnecting Zoom
Zoom can be disconnected at any time from Settings → Integrations. Seedling immediately deletes the stored Zoom credentials upon disconnection. Existing Gatherings that already have a Zoom meeting assigned retain their meeting links, but no new meetings will be created until Zoom is reconnected.
Data and Privacy
Seedling stores Zoom OAuth access and refresh tokens in an encrypted database. These tokens are used exclusively to perform Zoom API actions on behalf of the user and are never shared with third parties. See the Privacy Policy for full details.
Troubleshooting
- Authorization error during connection: Ensure you are signed in to the correct Zoom account before authorizing. Try clearing your browser cookies and reconnecting.
- Meeting not created when scheduling a Gathering: Verify that Zoom is connected in Settings and that the Gathering type is set to Online. Disconnect and reconnect Zoom if the issue persists.
- Attendance data not importing:Zoom attendance reports are typically available 30–60 minutes after a meeting ends. Try importing again after that window.
- Token expired or connection lost: Go to Settings and reconnect your Zoom account.
